Import a bank statement into TallyPrime

Post receipts, payments and contras from a bank or credit card statement in Excel, CSV or PDF. The balance is checked first and no line is posted twice.

Updated 29 October 2026

The Bank statement screen reads the statement you download from net banking or your card account, checks that it adds up, and posts each line to TallyPrime as a receipt, payment, contra or journal. Your rules and past choices pick the other ledger, and lines TallyPrime already has are left out, so nothing is posted twice.

Before you start

  • The Balancely connector is running and TallyPrime is open with the company.

  • The bank account is a ledger under Bank Accounts or Bank OD A/c. A credit card can also be a ledger with "card" in its name under a liability, creditor or loan group.

  • The statement from net banking or the card account, as Excel, CSV or PDF.

  • Only Owner, Admin and Accountant roles can use this page. Viewers cannot open it.

Which statement files work

FileNotes
Excel (.xls, .xlsx)The usual net banking download. Remove any password in Excel first.
CSV (.csv, .txt, .tsv)Comma, tab, semicolon or pipe separated.
PDFOnly a PDF with real text. A scanned PDF is an image and cannot be read, and neither can a PDF locked with a password. Download the Excel or CSV statement instead.

Files up to 10 MB. The file is read in your browser.

Upload the statement

  1. 1

In Balancely, open Accounts and then Bank statement, and choose the company at the top.

  2. 2

Under Bank or card account in TallyPrime, pick the ledger this statement is for.

  3. 3

Drop the file on Upload your statement.

Map the columns and check the balance

Balancely finds the heading row and guesses each column. Check them under Which column is which:

  1. 1

Under Statement of, choose A bank account or A credit card.

  2. 2

Check the Heading row and how Dates are written: day first, month first or year first.

  3. 3

Under Amounts, choose separate withdrawal and deposit columns, or One amount with Dr / Cr.

  4. 4

Match Date, Narration and the amount columns. Cheque / reference no., Value date and Balance are used when the file has them.

  5. 5

Read the Balance check, then choose Check against TallyPrime.

The layout is remembered for that bank account, so the next statement maps itself.

Balance checkWhat it means
The statement adds upEvery line's balance follows from the one before, and any totals the bank printed match.
The balances do not add upNothing can be posted. It names the first row that breaks. Check the withdrawal, deposit and balance columns, or download the statement again.
The balance could not be checkedThe file has no balance column, so a missing or extra line would not be noticed. Map the balance column if there is one.
A credit card statement has no running balance. It is checked against its own summary: opening due, credits, spent and closing due. If the file has no summary, compare the totals with your card account before posting.

Review the lines

TallyPrime is read for the bank ledger and its receipts, payments, contras and journals around the statement dates. Each line then lands in one tab.

TabWhat it meansWhat to do
ReadyHas an other ledger and is not in TallyPrime. Ticked to post.Untick any you do not want.
Need a ledgerNo rule or past choice fits.Pick the Other ledger, or choose Put in Suspense.
Check firstTallyPrime has an entry on that date for the same amount, or a card bill a few days away, or a line sent before was deleted since or never confirmed.Look in TallyPrime. Tick it only if it really is missing. A line never confirmed cannot be ticked.
Already in TallyPrimeSent from here before, or a voucher has the same amount and the same reference or narration.Nothing. It is not posted again.
AllEvery line.

For each line choose Post as. On a bank account the choices are Receipt for money in or Payment for money out, Contra for cash or your own accounts, and Journal for items like bank charges.

Fill Start each narration with if you want a word in front of the bank's narration, then choose Post with the count, for example Post 42 entries to TallyPrime. Up to 500 go in one batch.

Rules and remembered ledgers

The other ledger for a line is picked in this order:

  1. 1

A ledger you pick on the line.

  2. 2

The first rule that fits. Rules are checked top to bottom, and you can move them up or down.

  3. 3

A ledger remembered for the line's UPI ID or payee name.

  4. 4

Cash, for cash deposits and withdrawals, when the company has one cash ledger.

Add a rule

Choose Rules, then Add a rule. Under When pick Narration has, Narration starts with, UPI ID is, or Amount between. Add an amount range and money in or out if you need them, then Post to ledger and Post as. Rules are kept for every bank statement of the company.

When you pick a ledger on a line, similar lines are offered with Use for and the count, and Save as a rule. A ledger you pick by hand is remembered for that UPI ID or payee once you post. See them under Remembered and choose Forget to drop one.

What happens in TallyPrime

Post asVoucher in TallyPrime
ReceiptMoney in: received into the bank ledger from the other ledger.
PaymentMoney out: paid from the bank ledger to the other ledger.
ContraBetween the bank ledger and cash or another of your bank accounts.
JournalThe other ledger debited or credited against the bank ledger.
  • The date and amount are the statement's. The narration is the bank's. On receipts and payments, the cheque number or UTR goes in as the reference.

  • A card ledger under a liability group posts spends and refunds as Journals. Its bill, paid from your bank, is a Payment from the bank. A card under Bank OD A/c posts like a bank.

  • If you use Put in Suspense and the company has no suspense ledger, a ledger named Suspense is created under Suspense A/c.

  • Entries already in TallyPrime are never changed or deleted.

  • Each entry saved in TallyPrime counts towards your plan's monthly entries. A Suspense ledger created here counts too. Reading and checking do not.

How it never posts twice

Each line is known by its account, date, money in or out, amount, and the balance after it (or its narration when the file has no balance column). A line sent from here before is held back, even from an overlapping or downloaded-again statement. A line whose UTR, cheque or reference number is already on a voucher of the same amount, within three days, shows as Already in TallyPrime.

If the bank ledger has more than 1,000 entries in any one month, only the latest 1,000 of that month are read and the page warns you. Upload a shorter period to be sure.

Common questions

How do I import a bank statement into Tally?

Download the statement from net banking, open Bank statement in Balancely, pick the bank ledger and upload the file. Check the columns and the balance, review the lines, and post them to TallyPrime.

Can I import a bank statement from Excel to Tally?

Yes. Excel (.xls and .xlsx) and CSV statements are read directly, and the column layout is remembered for each bank account.

Can I import a PDF bank statement into Tally?

Yes, if the PDF has real text, as net banking PDFs usually do. A scanned PDF or one locked with a password cannot be read; download the Excel or CSV statement instead.

How do I enter a credit card statement in Tally?

Pick the card ledger, upload the card statement and choose A credit card. A card ledger under a liability group posts spends and refunds as Journals, and the bill payment from your bank as a Payment.

Will it create duplicate entries?

No. Lines sent from here before are held back, and lines whose reference is already on a voucher of the same amount are shown as already in TallyPrime and not posted.

What if the statement balance does not match?

Nothing can be posted until it adds up. The page names the first row that breaks, so check the column mapping or download the statement again.
